For remote and distributed teams

Share the early calls. Share the late ones.

Hourshare finds your team's weekly meeting time across time zones. When no time suits everyone, it rotates the out-of-hours slot so the same person is not up at 22:00 every week, and it warns you before the clocks change.

Computed live for a sample team, week 1 of the rota. Bright cells are working hours, dark cells sleep hours, the outlined column is the meeting (Los Angeles clock).

The problem with one fixed time

Somebody always gets the 22:00 call.

With Maya in Los Angeles, Tom in London, Wei in Singapore, there is no half hour when all three are at work. Pick one fixed time and the cost lands on the same person every week. Hourshare's rota shares it.

How the points are counted →

Over 4 weeks Hourshare rota one fixed time

  • Maya Los Angeles Rota 7 · fixed 4
  • Tom London Rota 5 · fixed 0
  • Wei Singapore Rota 4 · fixed 12

Most points on one person: 7 with the rota, 12 with the best fixed time (07:00 Los Angeles).

Clocks do not change together

Europe, the US and Australia move their clocks on different weekends.

For a week or two the gap between two cities is an hour different, and a meeting that was fine becomes 07:00 for someone. Hourshare reads the real dates from the time zone database and plans each week with the right offsets.

Coming up for the sample team

No clock changes for these cities in the next 4 weeks.

How it works

From a list of cities to a fair rota.

  1. 1

    List the team

A name or role, a city, working hours and working days for each person. No accounts, no email addresses.

  2. 2

Read the overlap and the rota

See the day side by side, the start time for each week, and the points each person carries. Every rule is published.

  3. 3

    Hand out the times

Print the rota or give each person a calendar file with their own local times. You still send the invite from your own calendar.

Questions

Does Hourshare read our calendars or send invitations?

No. It never connects to a calendar, never sends email and never contacts anyone. It works out the times; you send the invitation from your own calendar. The calendar files and feeds only list each person's planned times.

Where do the time zone rules come from?

From the IANA time zone database built into PHP on our server, the same data computers use to set their clocks. If a government changes its rules, the database is updated with the server.

Is this a job board or a hiring service?

No. Hourshare is a planning tool for teams that already work together. There are no listings, no hiring and nothing to do with income.

What does a Team Board store?

The names or roles you type, their time zones, hours and days, and the meeting details. No email addresses and no account. Anyone with the private link can open the board.
